FAQs

Below, you’ll find answers to the most frequently asked questions.

Why are we getting married?

Because our love story is too special not to celebrate! Besides, after 10 years of being together, we figured it was time to cross the "epic wedding" of our bucket list.

Where does the wedding take place?

On the magical island of Ibiza, Spain!! And in particular, at the jaw-dropping, 5-star hotel Hacienda Na Xamena, located on the top of the Na Xamena cliffs with views that'll take your breath away.

Is everything happening in one place?

Yes, all events will take place at the beautiful Hacienda Na Xamena. So, no need to travel to different locations outside of the hotel!

How many people are coming?

There will be 50 people in total for this special occasion, hoping for a cozy, intimate event.

Where are we staying?

In the luxurious rooms of Hacienda Na Xamena itself, where the views are straight out of a dream. We'll all wake up in paradise together!

Why have we chosen this venue?

This place is not just a venue; it’s a piece of Ibiza’s heart & history. With its stunning views, luxurious amenities, and the perfect mix of nature and elegance, this 5-star luxury hotel, with its authentic, hippie Ibiza feel, was the only place that felt right to celebrate this once-in-a-lifetime event.

Is the hotel room paid for?

Yes! Your stay of two nights on May 9 and May 10 at Hacienda Na Xamena, including breakfast and tourist tax, is on us! We want you to enjoy this paradise with us to its fullest, waking up to those stunning views and having breakfast together overlooking the Mediterranean Ocean.

Do we have the entire hotel to ourselves?

No, only the event areas will be private for us. The hotel area is shared with other guests. But as it’s low season, there might be a lower occupancy.

What is the dress code for the wedding?

The dress code is Casual Chic, which means wearing something stylish yet comfortable. The ceremony will occur in the hotel's outdoor theatre, with an amazing ocean view where you'll sit on pillows.

Choose outfits that are both good-looking and comfortable. This will help you fully enjoy the lovely ceremony and the elegant party under the stars that follow.

What kind of shoes should I wear?

Opt for casual chic shoes. Please be aware that the hotel is built on a cliff with many height differences and stairs.

Can I wear high heels?

Absolutely! Feel free to rock your favorite heels—all the surfaces on all event locations are solid (no grass or soil to worry about).

Just be mindful that the venue has a few stairs and different levels, so a bit of extra care while walking will keep you feeling fabulous all day!

Can I wear white or light colors to the wedding?

Yes! We’re not here for old-school fashion rules. We’re here to celebrate life and love.

Wear whatever makes you feel amazing. Whether it's white linen, a pastel suit, a sequin jumpsuit, or a full-blown Ibiza fit with cowboy boots, feathers, and a hood… we love it all.

Is there a hair and makeup artist available?

No. One of our talented friends, who is also a guest, is kindly doing Fiona’s hair and makeup as a special favor. Because she’s part of the celebrations too, she won’t be available for other bookings on the day.

Can I join the celebration virtually if I can't attend in person?

Unfortunately, we won't have a virtual option.

Are children welcome?

No, it’s an adults only party.

Can I use the microphone to say something during the celebration?

Of course! If you want to share a story or a funny anecdote, give us a heads-up in advance. We'll carve out a special moment in the celebration where you can leave everyone smiling.

Is my flight paid for?

No, your flight will not be paid for. We kindly ask you to book and pay for your own flights. For more information about flights and transportation, please click here.

When do I need to book my flight?

As soon as possible!

Can I bring a plus one?

Unfortunately not, unless you’ve been invited as a couple.

Will there be transportation provided to and from the airport?

No. Since everyone’s traveling from different parts of the world and arriving on different flights and dates, we won’t be arranging transportation to and from the airport.

But no worries, it’s super easy to get to Hacienda! You can grab a taxi, hop in an Uber, or rent a car if you’d like.

And great news, there’s plenty of free parking at the venue, so you’re all set if you’re traveling at your own pace.

What other costs are not included?

  • Flight

  • Taxi’s

  • Mini-bar

  • Room service

  • Spa

  • Additional drinks purchased at the pool or restaurant.

Is there a specific time I should arrive at Hacienda on Friday, May 9th?

Aim to arrive by early afternoon on Friday, May 9th, the day before the wedding. This provides a comfy window to check in, unwind, and catch the pre-wedding sunset cocktail with us.

Is there parking available?

Yes, there's plenty of free parking at the hotel.

Will there be vegan/vegetarian/gluten-free food options?

Yes! We’ve ensured a special menu with delicious vegan, vegetarian, or gluten-free options to cater to your dietary preferences. Once you register your attendance, please let us know your dietary restrictions.

I have a food allergy, now what?

No worries! If you inform us about your allergies when you register for the event, we’ll ensure your dining experience is safe, delicious, and memorable.

Will there be an open bar?

Yes! During dinner on both Friday and Saturday, you can enjoy unlimited beer, wine, rosé, cava, and soft drinks.

Then, on Saturday evening, the party kicks it up a notch with a four-hour open bar, offering unlimited alcoholic beverages, including vodka, gin, tequila, rum, whiskey, and more.

Will there be cocktails?

Yes! We’ve put together a hand-picked selection of cocktails (both alcoholic and non alcoholic) that will be served during the Friday welcome reception and the Saturday post-wedding celebration on the rooftop. We can't wait to raise a glass (or two!) together!

Can I order other drinks outside the pre-selection during dinner & welcome drinks?

Unfortunately not. To keep things running smoothly for the staff, we’re sticking to the carefully curated selection of drinks.

What are the dinner plans for Friday, May 9th?

We’re keeping things laid-back with a delicious spread of vegetarian, meat, and fish tapas, along with sunset drinks on the Hacienda rooftop. It’s the perfect opportunity to relax and get to know everyone before the big event!

Please note that the food is only served from 18:30 - 20:00, so come early and enjoy plenty of tapas, as there won’t be a formal dinner service afterwards. If you’re still hungry later, you can order room service at your own expense.

Are there any plans for lunch on Saturday, May 10?

Yes! We want everyone to feel their best for the sunset ceremony, so we’ve arranged for club sandwiches on demand at the hotel’s pool restaurant—our treat!

Feel free to order one whenever you need a little energy boost before the celebrations. Just let the staff know if you have any food allergies or dietary restrictions when ordering. Please note that drinks are not included and will be at your own expense.

Dinner starts quite late on Saturday, will there be anything to eat before?

Don't worry, we’ve thought of that! Since we’re embracing the Spanish way of late dining, we’ll be serving a variety of small tapas (fish/meat/vegetarian) along with our celebration cocktails from 18:30 to 19:30 during the rooftop reception.

Think of it as a little warm-up for the big evening ahead — no rumbling tummies allowed!

Is there a set menu for Saturday’s dinner?

Yes! We’ve curated a special four-course dinner featuring beautifully crafted dishes made with fresh ingredients from Hacienda’s own garden and local suppliers.

And of course, we’ll top it all off with a delicious wedding cake. It’s going to be an absolute feast!

Is there a set table seating for Saturday’s dinner?

Yes! We’ve thoughtfully arranged a seating plan to ensure everyone feels comfortable and connected. We’ve considered friendships, family ties, and even shared interests to create a warm and enjoyable atmosphere at each table.

Your seat will be set with a personalized name tag and the evening’s menu.

What if I want to give a gift?

Your presence is the greatest gift! While we’ve covered your stay, we kindly ask that your flight to join us be your generous gift to us. Your effort to be there is truly all we wish for.

But what if I still want to give a gift?

We would like to encourage you not to do so as we have already asked you to pay for your own flight. You being at our big day is the gift!

However, if you'd feel uncomfortable arriving without a gift, some guests are organizing a collaborative one and need your RSVP to share details via email.

Will the wedding be indoors or outdoors?

We're having a mix! The ceremony and some receptions are outdoors, with dinner and the party being indoors.

What’s the weather like in Ibiza around the wedding date?

Expect sunny days and chilly evenings, with temperatures somewhere between 15-25 degrees Celsius during the daytime and somewhere between 10-20 degrees Celsius at night. Make sure to pack a light jacket or vest in case the sea breeze picks up.

What happens if there is rain, snow, hail, a thunderstorm?

In the 25 years that Hacienda Na Xamena has hosted weddings, bad weather has not once ruined the celebrations. But, should we be the first, there's a beautiful indoor location ready to keep the party dry and lively.

What should I pack, aside from my wedding outfit?

Ibiza's vibe is laid-back yet stylish. Bring your swimsuits, sun protection, comfortable shoes for exploring, sunglasses, and a relaxed travel outfit for a comfortable flight home.

What’s the plan for the day after the wedding?

After breakfast and check out at 12:00, the day is yours to enjoy. Whether you're soaking up more Ibiza sun, exploring the island, or just relaxing, feel free to make the most of your time.

If you're not ready to bid adieu to the island's charm, you might consider extending your stay and relocating to another room in Na Xamena or one of the many inviting hotels scattered across the island.

We will extend our stay on the island at OKU Ibiza until Friday, May 16th.

Will the ceremony be in English or Dutch?

Since most of our guests are from the Netherlands and about 10% are international, our wonderful Belgium ceremony officiant, Wendy from Ibiza Soul Ceremonies, will lead a heartfelt 30-minute ceremony in both English and Dutch. This way, everyone can follow along and feel included in the moment!

Our personal vows, however, will be in Dutch — a little nod to our roots and to keep some parts extra personal.

Will there be a wedding photographer?

Yes! Photographer Matt Morgan will capture this special event for us and will be present on both Friday and Saturday. All photos will be uploaded to this site once finished so that you can download them yourself!

And yes, feel free to share them wherever you want, whenever you want! There's no need to wait for us to post something first.

Can I use my phone/camera/tablet during the weekend?

Absolutely! We’d love for you to capture all the fun and memories throughout the weekend!
The only moment we kindly ask you to keep your phones, tablets, and cameras tucked away is during the ceremony.

We’d love for everyone to be fully present with us, and it will also help our photographer work their magic without any phones, cameras, or tablets sneaking into those once-in-a-lifetime shots.

Thank you so much for helping us keep the ceremony as heartfelt, beautiful, and distraction-free as possible. It truly means the world to us!

Can I post photos/videos on social media during the weekend?

Absolutely! Feel free to share as much as you want.

Will there be a DJ playing during the party?

Yes! We’ve invited an Ibiza-based artist to spin an electrifying 4-hour tech house set, guaranteed to get everyone on their feet and keep the energy high.

Can I request a song from the DJ?

No. We've asked the DJ to read the room and keep the energy just right throughout the night, so he won’t be taking song requests. Don’t worry—he’ll make sure there’s plenty of great music to keep everyone on the dance floor!

Are there any plans for an afterparty after the wedding ends at 02:00 AM?

No. We've decided to wrap up the celebrations at 2:00 AM, so no afterparty plans are in place. We figured it would be perfect for everyone to head to bed with full hearts (and happy feet!).

Of course, if you feel like keeping the spirit alive a little longer, you're more than welcome to continue the fun wherever the night (or morning!) takes you at your own expense.

Can I contact someone with any other questions I don’t want the bride and groom to know?

Yes, of course! Feel free to contact our event coordinator, Cynthia Autin.

You can reach her via eventos@haciendanaxamena-ibiza.com. As she plans multiple weddings simultaneously, please make sure to refer to the Robin & Fiona wedding.

Can I extend my stay at Hacienda Na Xamena?

Absolutely! If you’d like to extend your stay, feel free to contact our event planner, Cynthia, at eventos@haciendanaxamena-ibiza.com to arrange your stay or make a booking via booking.com.
